Candidate Profile

The Knowledge Management Coordinator is RJC’s primary librarian and is accountable for maintaining RJC’s Intranet and managing the Knowledge Management workplan by ensuring that content is the most relevant, accurate, and up-to-date information and is user-friendly. The Coordinator helps to establish and maintain best practices for knowledge and intranet management to promote quality standards for RJC. In addition, the Coordinator interacts with key RJC stakeholders to drive user adoption by continuously monitoring knowledge repository metrics for improvement opportunities and works with the relevant stakeholders to implement changes.

 

Key Responsibilities

Duties include, but are not limited to

Develop and Sponsor Knowledge Resources and Knowledge Sharing Processes.

  • Identify and implement processes to enhance knowledge sharing and utilization.
  • Ensure all Knowledge Management processes are well documented and communicated to relevant stakeholders.
  • Discover and share internal stories, best practices, lessons learned, and expertise.
  • Promote the organization's knowledge sharing program to internal and external audiences
  • Know where knowledge is located and connect people who need it.

Manage the Firm’s Knowledge-based Intranet.

  • Develop guidelines for Knowledge Management Library content and processes and review all materials.
  • Develop, maintain and update RJC’s Knowledge Management Library.
  • Curate content to ensure it is up to date, accurate, and relevant.
  • Generate content by soliciting subject matter experts and researching external sources.

Facilitate Connections between RJC Practice Areas.

  • Build relationships across RJC Teams and Offices in order to share best practices.
  • Develop and maintain excellent working relationships with subject matter experts, Intranet users, IT staff, and software vendors.
  • Act as the liaison between the Knowledge Management Library and RJC Stakeholders.
  • Work closely with teams to gather information and ensure the Knowledge Management Library reflects the most relevant data.
  • Advocate for use of the Intranet as a resource.
  • As required, present project plans, deliverables and other initiatives to Senior Leaders.

Conduct Orientation and Training Sessions and Create Supporting Documentation.

  • Assist in the on-boarding of new employees as it related to RJC’s Knowledge Management Library and Intranet
  • Provide ongoing training and support as needed.

Guide Strategy and seek Continuous Improvement.

  • Collaborate with Firm Leadership to develop long-term Knowledge Management goals and strategies and identify gaps in resources.
  • Monitor and analyze the effectiveness of the Knowledge Management Library and other initiatives providing regular updates and recommendations for improvement.
  • Establish and maintain protocols to ensure that user feedback is incorporated quickly, and enhancements are made and rolled out frequently.

 

Professional Qualifications

Education

  • Library and Information Technician Diploma or B.S. Information Management, not required, but preferred

Experience

  • 1-3 years of experience in Knowledge Management and digital records related work is preferred; or
  • 3-5 years of experience in administrative services in a fast-paced professional environment.

Technical Skills: 

  • Proficiency using MS Office tools and Office365
  • Experience with Synthesis 6 (by Knowledge Architecture) a strong asset
  • Project management skills would be an asset
