Salary Range: $55,000 - $75,000 (Dependent on experience)
ROLE SUMMARY:
An exciting opportunity has become available for a Proposal Specialist within RJC’s dynamic and creative BC marketing team. We are looking for a detail-orientated individual at an intermediate level (i.e. ideally 2 to 3 years’ experience in the same or similar role) to join our Vancouver office where you will have an integral role in supporting the development of proposals of varying complexity, using Adobe InDesign or MS Word. Responsibilities will encompass a range of administrative assignments such as creating templates and formatting content, as well as honing your creativity and desktop publishing skills to create compelling and visually appealing proposals and marketing collateral. You believe in the importance of quality, attention to detail, and diligence in ensuring that proposals are compliant, accurate, and easily understood.
Key Responsibilities:
Duties include but are not limited to:
• Working with Adobe InDesign and Microsoft Office Suite to support the RFP process through development of templates, writing and formatting of proposals, and creating/updating marketing materials.
• Coordinating with RJC’s technical staff and leadership to prepare thoughtful and engaging proposals, including overall layout and organization of documents; coordinating written text and technical input from various team members and subconsultants; creating drafts for review; and coordinating all proposal-related information in a timely manner.
• Manage content deadlines, submission data, undertake research, and follow through as required to support proposal submissions
• Planning and executing architect/subconsultant reach out on pursuits as required.
• Coordinating scope and fee letters, adding marketing appendices as required.
• Maintaining established proposal processes; tracking workload, submission data and win/loss outcomes through Monday.com; assisting the marketing team in creating presentation materials for proposal interviews.
• Ensuring follow-up on submitted pursuits, then sharing and recording win/loss results.
• Ensuring that a debrief is requested on all unsuccessful pursuits, and that any feedback received is recorded and shared among the team.
• Assisting with writing, development, and coordination of promotional resources and social media updates showcasing RJC’s expertise, experience, and creativity.
• Assisting with planning and coordination of various business development opportunities and industry events including conferences and client events.
• Ensuring standard proposal content is current and accurate, and that any new materials or customized content is captured and recorded for future proposal/marketing resources.
• Data entry and timely workflow updates using Monday.com, NewForma, and a CRM.
• Performing other duties as required to support the BC Regional (Vancouver and Vancouver Island) team, corporate marketing, and marketing teams at other RJC offices.
What You Bring to RJC:
Education:
• Diploma/Degree in Marketing, Communications or related field.
• Diploma/Degree in another field.
Experience:
• 2 - 5 years of proposal and marketing related experience with a professional services organization.
• Familiarity with the consulting engineering and architectural industry would be an asset.
Skills:
• Working proficiency in MS Office Suite. Familiarity with Adobe Creative Suite (particularly InDesign) would be a definite asset.
• Excellent communication, writing, editing, and proofreading skills.
• Exceptional organizational, time-management, and project management skills.
• Ability to self-manage project assignments from start to finish with minimal oversight.
• Strong self-initiative and resourcefulness, adept at handling changing priorities and deadlines.
• Ability to handle stressful situations with professionalism and composure.
• Committed to providing exceptional client service - able to interact professionally with all levels of internal and external personnel and build strong working relationships.
